LAKE HOPATCONG YACHT CLUB

May 1, 2008

Dear Member,

As you know, LHYC is moving to a computerized cash register system (also known as POS).  This new system, similar to those you now see in most clubs and restaurants, will allow the Club to better track revenues and expenses, provide a more adequate audit trail, and make our staff more efficient.  The differences between our old paper chit system and the new system are as follows:

1) Bar - Previously you signed a chit when you ordered your first drink, and did not see it again until a copy arrived in the mail.  You will continue to sign a chit for your first order.  You can also now review and sign your receipt for the entire visit before leaving the club, and take a copy with you.  To prevent questions later, we highly recommend you do so.  If you forget to sign the chit,  or lose your copy, and find it necessary to review it later, a copy will be kept which you can review at a later time if you call to request it, with the exact date in question.  However, copies of chits will no longer be mailed.

2) Snack Bar - Previously you signed a chit when you made your first order, and you or your family could add to that chit as the day went on. Similar to the bar, you will sign a receipt on your first order, but you can also sign and get a copy of your receipt for the entire visit before leaving the club.  Again, keep in mind that if you forget your receipt, it will no longer be mailed.  (As most of our billing questions come from the snack bar, we strongly suggest you sign and get a receipt after your last order.)

3) Porch Dining - Porch Dining will see little change.  Your chit that you will sign at the end of dining will now simply look more like you are accustomed to at other clubs and restaurants.  The only difference is that you will now receive a copy of the chit at that time, rather than in the mail.

4) Account Numbers - There was some confusion last year with regard to account numbers, which are usually the last four numbers in your phone number.  Last year some account numbers were updated to current phone numbers, which created some confusion.  Please make sure that everyone in your family who may be charging knows your account number.  If you are not sure what the account number is, please check the list at the bar, the snack bar, or with the manager.

Sincerely,

Kenneth Heaton, Vice Commodore
